A professional invoice needs six things: your business name and contact details, your client's name and address, a unique invoice number, the invoice and due date, an itemised list of products or services with quantities and rates, and a clear total. Adding payment terms (such as Net 30) and bank or payment instructions removes any ambiguity and reduces follow-up time significantly.
The total is calculated in three steps. First, each line item multiplies quantity by rate to get a row amount, and all rows are summed into the subtotal. Second, any tax percentage is applied to the subtotal to get the tax amount. Finally, the discount (a flat dollar amount) is subtracted. The result is the final amount due. All three steps update in real time as you type.
The invoice date is when you issued the invoice. The due date is the deadline by which the client must pay. The gap between the two is your payment term. Common terms are Net 15, Net 30, and Net 60, meaning payment is due 15, 30, or 60 days after the invoice date respectively.
